Shareable Templates

Shareable templates are ready-made documents, designs, workflows, or setups that users adapt and pass on. When someone shares a Notion template, a Canva design, a Figma file, or an Airtable base, every recipient meets the product through something useful. The template delivers value and introduces the product at the same time.

How it works

Templates reverse the usual funnel. Instead of hearing about a product, then considering it, then trying it, the recipient tries it first. They open the template, see that it works, and want to know what tool it was built in. More templates shared leads to more users, who make and share more templates.

How to do it

  1. Build a template gallery in the product covering your most common use cases. Sort it by industry, use case, and difficulty.
  2. Give every template a public link that anyone can view and copy into their own account. Viewing should be free. Copying should lead naturally to signup.
  3. Let users publish their own setups as templates. They will cover niche use cases your team would not think of.
  4. Add a small “Made with [Product]” link to shared templates that points to signup.
  5. Give each popular template its own search-friendly landing page (for example “Free Marketing Calendar Template”), and promote new templates on social media and in email to existing users.

What to measure

  • Template share rate — active users who share at least one template divided by all active users.
  • Template-to-signup conversion — signups from template pages divided by template page visitors.
  • New users per shared template — signups attributed to template links divided by templates shared.

Best practices

  • Build for specific, searchable use cases. “Q4 Product Launch Timeline” draws better-matched users than “Project Management Template.”
  • Feature user-made templates next to official ones.
  • Include instructions, example data, or a “how to use this” section so recipients see the value right away.

Common pitfalls

  • Templates too thin to be useful. A blank sheet with column headers is not worth sharing. A working setup with example data and instructions is.
  • No search pages. Each template should have its own page with a clear title, description, and content about its use case.
  • No curation. A gallery full of weak user templates lowers trust. Add review or ratings to surface the best ones.
